VAV onboarding

A clear path from interest to trusted relationship.

Volunteers, event teams, ministry-team members and partners share one governed onboarding spine, with different requirements applied only where the role calls for them.

Five relationship tracks

One person. One organization. Distinct roles.

01

Volunteer

General service interest, gifts, availability and role-appropriate screening.

02

Event volunteer

Confirmed event, event role, schedule, coordinator and event-specific preparation.

03

Ministry team member

Leadership approval, ministry formation, policies, permissions and ongoing accountability.

04

Church or ministry partner

Organization identity, authorized contacts, proposed scope, relationship owner and approvals.

05

Artist, speaker or contributor

Invited or applicant musicians, DJs, ministers, creatives and production professionals with event-specific review and terms.

Governed sequence

Nothing active before it is ready.

Stages may be skipped only when policy allows. A submitted interest never silently becomes an active role or approved partnership.

  1. 01

    Interest

Receive the person or organization’s stated purpose and consent.

  2. 02

    Identity match

Create or match the governed contact and organization without duplication.

  3. 03

    Review

Route to the correct ministry leader, coordinator or relationship owner.

  4. 04

    Screening

Complete only the references, safeguards or documents required for the role.

  5. 05

    Orientation

Explain mission, conduct, privacy, escalation, communications and expectations.

  6. 06

    Approval

Record the approved role or partnership scope, authority and effective date.

  7. 07

    Activation

Assign the team, event, leader, schedule and least-necessary access.

  8. 08

    Ongoing care

Manage communications, service history, renewal, changes and offboarding.

One person, distinct relationships

Roles attach to identity—they do not create duplicate people.

The same person may be a donor, attendee, volunteer, prayer requester, partner contact or ministry-team member while privacy and access remain role-specific.
